1. INTRODUCTION
Patrol Forge LLC ("Patrol Forge," "we," "us," or "our") respects the privacy of the organizations and individuals whose information is processed through Patrol Forge Multiple Company.
This Privacy Policy explains how Patrol Forge collects, receives, uses, processes, stores, discloses, retains, and protects information in connection with Patrol Forge Multiple Company, including our related websites, web applications, mobile applications, desktop applications, APIs, and other services collectively referred to as the "Services."
Patrol Forge Multiple Company is a business-to-business software platform designed primarily for dispatch companies, contract dispatch centers, centralized communications providers, and similar organizations that provide dispatch and related operational services to multiple independent security companies or other authorized organizations.
The Services are primarily designed to support:
• multi-company dispatch operations;
• computer-aided dispatch ("CAD");
• calls for service;
• officer and unit management;
• officer status and availability;
• incident reporting;
• dispatch and incident documentation;
• officer and dispatcher safety;
• GPS and location-enabled operational functions;
• company and user administration;
• operational communications;
• reporting;
• attachments and evidence;
• audit trails; and
• related security operations.
Because a Dispatch Company may provide services for multiple independent companies, Patrol Forge Multiple Company may process information belonging to several separate organizations within the same overall dispatch environment.
This Privacy Policy describes how that information is handled.
2. UNITED STATES SERVICE
Patrol Forge Multiple Company is designed and offered for business operations within the United States.
The Services are not intended to be marketed as a general-purpose service outside the United States.
Our privacy practices are designed to account for applicable United States federal and state privacy, security, data breach, employment, consumer protection, and related laws.
Because privacy requirements vary among states, additional rights or requirements may apply depending upon an individual's state of residence, the location where information is collected, the nature of the information, and the role in which the individual interacts with the Services.
Where applicable state law provides greater privacy protections than those described generally in this Privacy Policy, Patrol Forge will apply those protections to the extent required by law.
3. IMPORTANT DEFINITIONS
For purposes of this Privacy Policy:
"Dispatch Company"
means the organization maintaining the primary Patrol Forge Multiple Company account and using the Services to provide dispatch, communications, monitoring, reporting, administrative, or related operational services to one or more Serviced Companies.
"Serviced Company"
means an independent security company, patrol company, organization, agency, or other authorized entity receiving dispatch or related services through a Dispatch Company's Patrol Forge Multiple Company environment.
"Customer"
means the organization that contracts directly with Patrol Forge for access to the Services.
"User"
means an individual authorized to access or use the Services, including administrators, dispatchers, supervisors, officers, managers, employees, contractors, client users, and other authorized personnel.
"Customer Data"
means information, records, files, communications, reports, attachments, operational information, and other content submitted to, transmitted through, stored within, or generated through the Services on behalf of a Customer or Serviced Company.
"Personal Information"
means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked to an identifiable individual, subject to the definition applicable under relevant law.
"Operational Data"
means information generated or processed in connection with dispatch or security operations, including calls for service, officer activity, unit status, GPS information, incident reports, timestamps, notes, assignments, communications, and audit records.
4. PATROL FORGE'S ROLE
Patrol Forge generally provides the technology through which Dispatch Companies and Serviced Companies process operational information.
For much of the Customer Data processed through the Services, the Customer, Dispatch Company, Serviced Company, or other responsible organization determines why the information is collected and how it will be used.
For example, these organizations may determine:
• what officer information is entered;
• what information dispatchers collect from callers;
• what information is included in an incident report;
• which officers or units are assigned to a call;
• whether GPS functionality is enabled;
• which users have access to particular information;
• which documents or photographs are uploaded;
• how operational information is used;
• how long operational records must be maintained; and
• when information may be disclosed to clients, law enforcement, insurers, attorneys, or other authorized recipients.
In these situations, Patrol Forge generally processes Customer Data on behalf of the Customer.
Patrol Forge independently determines how certain information necessary to operate our own business is processed, including account administration information, subscription information, billing records, platform security information, technical logs, fraud-prevention information, and communications with Patrol Forge.
5. MULTI-COMPANY DATA ENVIRONMENT
Patrol Forge Multiple Company is specifically designed to allow a Dispatch Company to provide services to multiple independent Serviced Companies.
Authorized Dispatch Company personnel may therefore have access to information belonging to multiple Serviced Companies when such access is necessary to provide contracted dispatch or operational services.
Patrol Forge uses company relationships, account assignments, roles, permissions, and other access controls intended to restrict information to authorized users.
A Serviced Company should not ordinarily have access to another Serviced Company's information.
The Dispatch Company is responsible for determining which of its personnel are authorized to access information belonging to the Serviced Companies it serves.

Depending upon the circumstances, this may include information concerning:
• injuries;

The availability of a text field does not mean that every type of Personal Information should be entered into that field.
12. INCIDENT REPORT INTEGRITY
Incident reports may become important business, legal, insurance, investigative, regulatory, employment, or evidentiary records.
Patrol Forge may maintain information concerning the creation, modification, review, approval, rejection, or other handling of reports.
Where supported, records may include:
• original submission information;
• modification history;
• timestamps;
• approving or reviewing users;

Information will not necessarily be deleted merely because an individual requests deletion when retention is permitted or required by applicable law.

• other legitimate dispatch functions.
14. WORKFORCE LOCATION MONITORING
Patrol Forge provides technology that Customers may use to monitor the work-related location of employees, contractors, or officers.
The Customer is responsible for determining whether such monitoring is lawful in the jurisdictions where it operates.
The Customer is also responsible for providing any notices, policies, disclosures, acknowledgments, or consents required by applicable federal or state law.
Where state law imposes additional requirements concerning electronic monitoring, location tracking, employee surveillance, or similar activities, Customers are responsible for complying with those requirements.
15. OFFICER STATUS AND SAFETY INFORMATION
The Services may process information indicating whether an officer or unit is:

26. CUSTOMER DATA
As between Patrol Forge and the Customer, rights concerning Customer Data are governed by the applicable agreements between the parties.
Patrol Forge does not claim ownership of a Customer's incident reports or operational records merely because those records are processed through the Services.
SECURITY
27. SECURITY SAFEGUARDS

Customers are responsible for protecting credentials, maintaining appropriate user permissions, and promptly notifying Patrol Forge of suspected unauthorized access.
28. DATA BREACHES AND SECURITY INCIDENTS
Patrol Forge maintains procedures intended to identify, investigate, contain, and respond to security incidents.
The United States maintains a state-by-state system of data-breach notification requirements.
When a security incident triggers a notification requirement, Patrol Forge will provide notices or information as required by applicable law and our contractual obligations.
Where Patrol Forge processes affected information on behalf of a Customer, we may provide information to the Customer so that the Customer can fulfill its own notification obligations.
RETENTION AND DELETION
29. DATA RETENTION
Information is retained for periods appropriate to its purpose and according to applicable legal, contractual, operational, security, and evidentiary requirements.
Different categories of information may have different retention periods.
Factors affecting retention may include:
• Customer instructions;
• active account status;
• contractual requirements;
• applicable statutes of limitation;
• insurance requirements;
• regulatory requirements;
• litigation;
• legal holds;
• incident investigations;
• security investigations;
• fraud prevention;
• accounting requirements;
• dispute resolution; and
• preservation of audit and record integrity.
30. INCIDENT REPORT RETENTION
Incident reports and associated information may need to be retained after an individual requests deletion.
Depending upon applicable law and the circumstances, legitimate retention purposes may include:
• establishing or defending legal claims;
• preserving evidence;
• documenting security incidents;
• insurance claims;
• contractual requirements;
• regulatory obligations;
• employment matters;
• criminal or civil investigations;
• responding to legal process; and
• maintaining the integrity of business records.
A right to request deletion does not necessarily create an unconditional right to require destruction of every record containing information about an individual.
Where legally appropriate and technically feasible, information retained solely for a limited legal or compliance purpose may be restricted from ordinary operational use.
31. BACKUPS
Deletion from active systems may not immediately remove information from backups or disaster-recovery systems.
Information may remain in protected backups until overwritten or removed according to the applicable backup-retention schedule, unless applicable law requires different treatment.
UNITED STATES STATE PRIVACY RIGHTS
32. STATE-SPECIFIC PRIVACY RIGHTS
Privacy rights vary throughout the United States.

These may include the right to:
• know whether Personal Information is being processed;
• access Personal Information;
• obtain a copy of Personal Information;
• correct inaccurate Personal Information;
• request deletion;
• request data portability;
• obtain information concerning categories of information processed;
• obtain information concerning categories of recipients;

These rights are not absolute and may be subject to statutory exceptions.
33. CALIFORNIA PRIVACY RIGHTS
Where the California Consumer Privacy Act, as amended by the California Privacy Rights Act ("CCPA/CPRA"), applies, California residents may have additional rights concerning Personal Information.
These may include applicable rights to:
• know;
• access;
• correct;

• obtain information about collection and disclosure;
• opt out of sale or sharing;

California employment-related Personal Information may receive protections under California law even where employment-related information is treated differently under privacy laws in other states.
34. OTHER STATE COMPREHENSIVE PRIVACY LAWS
Patrol Forge recognizes that multiple states have enacted comprehensive privacy laws and additional states may enact or amend such laws after this Privacy Policy is published.
Rather than limiting this Policy to a fixed list of states, Patrol Forge intends to provide rights required by any applicable comprehensive state privacy law.
If an applicable state law provides a right or protection not specifically identified in this Privacy Policy, the omission of that right from this Policy does not waive a right granted by law.
35. SENSITIVE DATA
Some state privacy laws provide heightened protections for categories of "sensitive data" or "sensitive Personal Information."
Where applicable, Patrol Forge and Customers must process such information according to the requirements of the relevant law.
Depending upon state law, sensitive information may include categories such as precise geolocation, government identifiers, account credentials, certain health information, biometric information, racial or ethnic origin, religious beliefs, sexual orientation, citizenship or immigration status, information concerning children, or other specially protected categories.
Patrol Forge does not require Customers to place unnecessary sensitive information into incident reports.
36. EMPLOYEE AND BUSINESS INFORMATION
State privacy laws do not treat workforce information uniformly.
Some laws exclude or partially exclude information processed in an employment or business-to-business context, while other laws may provide protections for such information.
Patrol Forge will process applicable privacy requests according to the law governing the relevant information and individual.
Customers remain independently responsible for compliance with laws applicable to their employees and contractors.
37. STATE ELECTRONIC MONITORING AND LOCATION LAWS
Certain states impose additional requirements concerning employee monitoring, electronic surveillance, location tracking, communications monitoring, or notice to employees.
Patrol Forge provides technological tools capable of processing work-related location and activity information.
Customers are responsible for determining which state laws apply to their workforce and for obtaining or providing any required:
• notice;
• acknowledgment;
• authorization;
• consent; or
• workplace policy.
38. STATE DATA BREACH LAWS
Security-breach notification requirements vary by state.
The definition of Personal Information, required notification timing, government reporting requirements, notification contents, and other requirements may differ depending upon the affected individual's state.
Patrol Forge will address security incidents according to applicable law and its contractual responsibilities.
PRIVACY REQUESTS
39. SUBMITTING A PRIVACY REQUEST
Privacy requests may be submitted to: privacy@patrolforge.com
Please provide enough information for us to understand and appropriately process the request.
We may verify identity or authority where permitted or required by applicable law.
40. CUSTOMER-CONTROLLED INFORMATION
Much of the Personal Information stored within Patrol Forge Multiple Company is controlled by a Customer.
For example, if a security company's dispatch provider maintains an incident report concerning you, the Dispatch Company or Serviced Company may be the appropriate organization responsible for responding to the request.
When appropriate, Patrol Forge may:
• refer you to the Customer;
• forward the request to the Customer;
• consult with the Customer;
• process the request according to the Customer's instructions; or
• explain that the Customer controls the relevant information.
Patrol Forge will not independently alter or delete Customer-controlled operational records when doing so would conflict with our obligations to the Customer or applicable law.
41. VERIFICATION
We may take reasonable steps to verify:
• identity;
• account ownership;
• residency where relevant;
• authority to act for another individual;
• company relationship; or
• other information reasonably necessary to prevent unauthorized disclosure or deletion.
We will not intentionally request substantially more information than reasonably necessary to verify a request.
42. AUTHORIZED AGENTS
Where applicable law permits an authorized agent to exercise privacy rights on behalf of another person, Patrol Forge may request reasonable documentation establishing the agent's authority.
We may separately verify the identity of the individual whose information is involved when permitted by law.
43. APPEALS
Where applicable state law provides a right to appeal our decision concerning a privacy request, the response will provide information about how to submit an appeal.
Unless otherwise provided, privacy appeals may be submitted to:
privacy@patrolforge.com
44. NONDISCRIMINATION
Patrol Forge will not unlawfully discriminate against an individual for exercising a privacy right provided by applicable law.
CHILDREN AND MINORS
45. CHILDREN
Patrol Forge Multiple Company is a professional business and security-operations platform and is not directed to children.
Children are not intended to create Patrol Forge user accounts.
Incident reports and calls for service may nevertheless contain information concerning minors when necessary to document a legitimate security or safety incident.
Such information is treated as Customer Data and is not collected for advertising to children.
Customers are responsible for determining whether special legal requirements apply when information concerning minors is included in their records.
CUSTOMER RESPONSIBILITIES
46. DISPATCH COMPANY RESPONSIBILITIES
Because Dispatch Companies may access information belonging to multiple independent organizations, Dispatch Companies are responsible for maintaining appropriate confidentiality and access controls.
Dispatch Companies should:

• maintain appropriate confidentiality requirements;
• properly configure user permissions;

• comply with applicable privacy and employment laws; and
• report suspected unauthorized access.
47. SERVICED COMPANY RESPONSIBILITIES
Serviced Companies remain responsible for their own information and privacy obligations.
Using a third-party dispatch provider does not eliminate a Serviced Company's obligations concerning its:
• officers;
• employees;
• contractors;
• customers;
• clients;
• incident records;
• properties; or
• other Personal Information.
48. DATA MINIMIZATION
Customers should collect only information reasonably necessary for legitimate business, security, safety, dispatch, investigative, contractual, employment, regulatory, insurance, or legal purposes.
Customers should avoid entering Social Security numbers, financial account information, medical information, government identification numbers, or other highly sensitive information into general narrative fields unless there is a legitimate need to do so.

• photographs or files;
• notifications; and
• other functionality required by enabled features.
Permissions vary according to operating system, application version, and enabled functionality.
Users may be able to manage permissions through device settings. Disabling permissions may prevent certain Services from functioning correctly.
